How to Escape the “Centre of the Universe” Trap

If you run your own business, you’ve probably heard yourself say things like:

  • “Why does everything come back to me?”
  • “I feel like I’m the only one who knows how to do this properly.”
  • “I can’t take a day off without something going wrong.”

It is not ego. It is the reality for most business owners. At some point, you become the gravitational centre of your company. Every question, decision and task flows through you.

And while that might feel like control, it’s actually a silent bottleneck that limits your growth, drains your energy and keeps you from doing the work that really excites you.

Enter the “Centre of the Universe” List — a simple but powerful exercise to help you reclaim your time and build the systems your business needs to thrive.

What is a “Centre of the Universe” List?

It is a real-time log of everything that lands on your plate. For one to two weeks, you track every task, decision or question that comes your way. Whether it takes ten seconds or ten minutes, write it down.

You will quickly spot the patterns. Tasks that repeat. Questions that could be answered by someone else. Decisions that would not exist if you had a better process in place.

This is not about blame. It is about visibility. And visibility creates power.

How to Create Your List

Step 1: Choose Your Tool
Use whatever you find easy to access — a notebook, spreadsheet, notes app or our downloadable excel sheet below.

Step 2: Track for 10 to 14 Days
Each time someone in your business asks you to do something, log it. Keep it simple:

  • Who asked?
  • What was the task?
  • How long did it take?
  • Did it really need to be you?

Step 3: Review the Data
After your tracking period, look back over the list. Highlight repeating tasks. Flag the ones that frustrate you or interrupt your flow. Ask yourself honestly:

  • Is this something I should be doing?
  • Can I create a process for this?
  • Can someone else in the business own this task with the right training or tools?
Taking Action
  • Group the Tasks

Start grouping similar items. You might notice themes like “approvals,” “client support” or “marketing decisions.

  • Build Micro Systems

Pick one recurring task and build a basic system around it. This could be a checklist, template, decision guide or simple set of instructions. Keep it practical.

  • Delegate Clearly

Once the system is in place, assign it. Make sure your team knows not just what to do, but when and why. Clear delegation beats vague instructions every time.

  • Store Systems in One Place

Use a shared tool like Notion, Trello or Google Sites to house your systems. This builds confidence across your team and makes it easy to update as you grow.

  • Keep Iterating

Check in monthly. What is still landing on your list? What can be improved? Small tweaks over time lead to big shifts in how your business runs.

The Bigger Picture

This is not necessarily about stepping away from your business. It is about giving you the freedom to step into the role you want to play. One where your time is spent on vision, strategy and work that moves the needle.

Creating a Centre of the Universe List is the first move in that direction. It gives you clarity, shows you where your time is really going, and gives you a clear path to reclaim it.

The most successful founders are not doing more. They are doing less, but better.

You deserve a business that works for you, not the other way around. And this is your starting point.
